Our solution SPARE PARTS CATALOGS is aimed at companies in the mechanical and plant engineering sector who specifically require individual spare parts catalogs for the technicians on site for the maintenance or repair of machines or systems. This approach offers significant benefits over the traditional comprehensive parts catalog, which includes information about all of the company's machinery and equipment.

Basis for the creation

To create a spare parts catalog for a single machine or plant, we use the corresponding customer order as a basis. After that, the BOM is resolved and additional information associated with the materials is added:

  • Is it a spare part? (This information must be stored in the SAP system for this.)
  • Technical drawings
  • Photos for the virtualization of the installation situation
  • Videos to guide the installation and removal

Which data, photos and drawings should be taken into account is, of course, freely configurable.

Time of creation

Variant 1: The spare parts catalog is created automatically, e.g. as soon as a machine or system has been sold.

The trigger can then be the production order, so that the spare parts catalog is created directly in addition to the documentation.

Variant 2: The spare parts catalog is produced "on demand" as soon as a machine or system requires maintenance or repair.

This approach gives the company even greater control over who gets what information and when.

Focus on easy usability

The catalog is created as an interactive PDF, in which the relevant parts can be searched and viewed. In addition, the spare parts can be easily transferred by clicking in an order form also contained in the PDF. In this form, the desired number can be adjusted if necessary or parts can be deleted directly there. The solution convinces with a very simple usability.

The entire software solution is also with a view to the simplest possible disclosure of the necessary information both to the technician on site, e.g. via email, download or USB stick as well as with regard to communication with the manufacturer. To do this, we rely on integration with elementary industry standards such as e-mail and PDF.

The actual order of the necessary parts by the technician should be as simple as possible. For this purpose, an order is automatically generated from the PDF, which can be returned directly by email (via Outlook or a web e-mail interface) to the manufacturer. If this is not desired, the form can of course also be printed out and sent by post.

Basically, the integration into a more automated process is possible. This includes the integration with a maintenance portal for download by the user (technician) on the one hand and the semi-automatic generation of orders from the forms on the other hand.
